Below is a list of phases which are used throughout the help documentation with their corresponding meanings.

Opportunity: An activity where a provider needs voluntary assistance.

  • Open Opportunity: Volunteers can join sessions on the opportunity
  • Closed Opportunity: Volunteers can no longer find or join sessions on the opportunity. But volunteers and providers can still log hours on the opportunity.
  • Delete Opportunity: Completely delete the opportunity including volunteers and logged hours (as though it was added by mistake)

Session: The Date, time and duration when a volunteer attends an opportunity (an opportunity is made up of one or more sessions).

HourTrade: The process of trading logged hours (logged by provider) for gifts and discounts.

Linked Volunteers:  This is when a volunteer is linked to a provider so that the provider can contact them directly (even if the volunteer hasnt joined any of the providers opportunities)

Induction: A meeting between an administrator and a volunteer to collect further information on the volunteer.  This is usually performed before the volunteer is cleared on the system.

SMS Text: A text message which can be received on a mobile phone.

Provider Linking: When a volunteer is linked to a provider allowing the provider to view the volunteers basic details and communicate with them.

Provider Group: Volunteers who have been grouped by a provider.

Logged Hours: Hours spent on an opportunity that are recorded by a volunteer and subsequently corroborated by a provider.  Both the volunteer and provider log hours for a session, but only the providers logged hours are used in reports and for HourTrade vouchers.

Gifted Hours: Volunteer hours that have been added or removed by the administrator in contrast to logged hours. This function is usually used to give additional hours to a volunteer who has gone above and beyond their normal volunteer duties.  These hours will not be included in any reports, but can be used to exchange for HourTrade Vouchers.

Owed Hours – Hours that a volunteer has completed but for some reason they can not be logged using the normal method. This is usually due to an opportunity not being setup on the system, or an historic opportunity that happened before the system was setup.

Event: An event is a group of opportunities. Every event has an EVENT WEBPAGE which is searchable by volunteers.

Accreditation: A method of creating volunteer badges to be used on events etc.

Feedback: The process in which opportunity providers and volunteers leave feedback on each other.

Category: Each opportunity is assigned a category which is used for reporting purposes and to assist volunteers when searching for opportunities.

Activity: Each opportunity is assigned multiple activities, this are used to indicate to volunteers exactly what type of activity they will be doing on the opportunity.

Footer: The customisable section at the bottom of your homepage.

TeamLeader: A volunteer who is able to mark if other volunteers on their opportunity have attended.

Provider Profile Page: A mini web page within your site which only lists information and opportunities pertaining to the provider.

Homepage Slider: The image on a systems front page which changes every 5 seconds.
