Opportunities can be restricted to only volunteers who have a Criminal Records Check (often called DBS or PVG depending on your country). But for this to work you must first make sure that volunteers have a Criminal Records Check recorded against them in the system.
The steps below show how to apply a Criminal Records Checks to volunteers in various scenarios.
Volunteer HAS a valid criminal records check
- Go to [ADMIN MENU] VOLUNTEER MANAGEMENT > FIND VOLUNTEERS
- Search for the volunteer
- Click on the volunteers name
- Change Criminal Records Check status to YES
- Enter the Criminal Records Check number, expiry date, issuer and evidence information.
- Click on Update button
Volunteer NEEDS a criminal records check
- Go to [ADMIN MENU] VOLUNTEER MANAGEMENT >FIND VOLUNTEERS
- Search for the volunteer
- Click on the volunteers name
- Enter the Criminal Records Check application reference number (This should be on the form you are sending to the criminal records check organisation).
- Enter the application date (usually todays date) and also any information or IDs that were provided by the volunteer.
- Click on the update button
Once you have received the volunteers criminal records check details, and you are happy for them to access restricted opportunities, then you can update the volunteers details by following the steps shown above in section ‘Volunteer HAS a valid criminal records check’.
NOTE: You can if an application is more than 30 days old OR if any criminal records are due to expire by going to [ADMIN MENU] VOLUNTEER MANAGEMENT > CRIMINAL RECORDS CHECK
